Delphi Group Researchers Report that Information Industry Still Struggles with Information Retrieval

Boston, MA - June 14, 2004: Market analyst Delphi Group, a Perot Systems company, reports that the effectiveness of information retrieval in today’s enterprises is showing signs of improvement based on the results of a recent survey of over 300 IT and line of business managers from all industries. Nearly 60% of the survey participants reported that finding information they need to get their jobs done has become better or easier over the last two years. At the same time, however, 68% still rank this task as difficult and time consuming.

“While technology has made a positive difference in both the speed and success of search tools in retrieving business information, there is still significant improvement needed in the quality of the search experience,” reports Carl Frappaolo, executive vice president of market analyst firm Delphi Group. “Respondents to the survey told us that they spend on average 2 to 4 hours a day using their computers to search for information that is beneficial or necessary to effective decision making and business execution. This is a lot of hours, but nearly half the group reported finding what they need over 75% of the time.”

When search facilities don ’t return results, it is for one of three key reasons, the Delphi Research survey found. The first reason is the fact that information changes constantly, and the changes frustrate the capabilities of their installed search technologies. The second reason is that their search tools are simply unable to find the kind of information that they are looking for with a reasonable degree of accuracy. And finally, professionals often don’t know exactly what they are looking for when they start their investigations, and their search tools are not helpful in discovering topic areas or key relationships across the many information repositories in the enterprise. Not surprisingly, then, 62% express dissatisfaction or extreme dissatisfaction with their corporate retrieval environments. “A significant 50% recognize that their organization needs to put greater emphasis on utilizing a navigable taxonomy to improve information discovery,” said Frappaolo.“At the heart of this issue is the role of a taxonomy and information architecture as the underlying structure for "sense making" in intelligent applications. The progress seen in this survey reflects the fact that about 40% of the individuals responding have an enterprise-wide system in place for classifying the information that they work with,” explains Frappaolo. “Significantly, another 16% had a classification system pending. However, a full 45% percent had no access to organized and classification information.”

“In business environments where information changes with weekly and monthly regularity, the organizational skeleton of an information architecture serves as an information discovery accelerator by organizing and classifying information in logical subcollections or navigable categories for efficient retrieval, ” continued Frappaolo. “Think of an office of 20 people, each of whom has organized his own file system on their computer. In that type of environment, finding an important detail can become the equivalent of locating the proverbial needle in a haystack. With a system-wide information architecture, individual workers categorize and classify the work they do along common lines, making information more accessible to all who need to use it. More importantly, this is done in a consistent manner, enabling simple collaboration and sharing of knowledge. This pays off in team productivity gains, risk reduction, and more timely and confident decisions,” he said.
